How to Import & Export
Contacts in Wavixo

A complete guide to adding, updating, and exporting contacts inside the Wavixo CRM.
This document explains how to import contacts into the Wavixo CRM,
how to export them, and answers common questions related to contact management.

How to Import Contact Details into the Wavixo CRM?

Wavixo allows you to upload all your lead data collected from:

Ads

Organic channels

Landing pages

Third-party tools

Offline data

This helps you consolidate every lead into one place—even if they haven’t yet messaged your WhatsApp Business API number.
📌 Important Note
For Indian numbers: You do not need to add the country code.

For non-Indian numbers: You must include the country code with a “+” prefix.




Step-by-Step Process to Import Contacts


Step 1 — Click “Import” on the Contacts Page

On the top-right corner of the Contacts Page, next to the Export button, click Import.



Step 2 — Upload Your .CSV File

A pop-up window appears where you must:
Click Upload File

Select a .csv file from your system

The document shows a sample sheet (page 2 image).
Blue columns are mandatory fields.
Once you finish adding your contacts and tags in Excel/Sheets, download the file in .csv format and upload it here.



Step 3 — Map the CSV Columns to Wavixo Attributes

On this screen:
Left side: Column names from your CSV

Right side: Attributes in Wavixo

Example mappings:
Name → user name

Mobile Number → phone number

Tags → tags

Ensure you map each field correctly to avoid upload errors.



Step 4 — Click “Import” to Complete the Upload

Once every entry is mapped, click Import at the bottom right. Your contact data is now added to the Wavixo CRM.



CSV Format Requirements

Some fields in Wavixo are created automatically, while others must be included manually in your CSV

Fields Automatically Created in Wavixo (No Need to Add in CSV)

Source – Displays how the contact was created (IMPORT, ORGANIC, API, etc.)

Status – Shows if the user is ACTIVE (within 24 hours) or INACTIVE

State – Indicates chat state (Intervened, Requesting, Closed, Chatbot-handled)

Last Active – Timestamp of the user’s last message

Created At – Date & time when the contact was first added in Wavixo



Fields You Must Add Manually in CSV

1. Name (Mandatory)
Used for personalization in broadcasts.
Examples:

Name: Mohit Dua

$Name → Mohit Dua

$FirstName → Mohit

$LastName → Dua


2. Mobile Number (Mandatory
) Indian numbers:
9876543452

919876543452

+919876543452

All formats are accepted.

Non-Indian numbers:
Must include country code + "+" sign
Examples:
+15417543010 (USA)

+61412345678 (Australia)

If you upload a number without a prefix, Wavixo assumes India (91) as default.

3. Tags
Tags help segment contacts by:
Lead type

Qualification

Interest

Funnel stage

Format:
Single tag → MBA

Multiple tags → MBA | Finance | Marketing

Use the “|” separator for multiple tags.
Up to 100 tags can be assigned to a single contact.
⚠️ Tags must already exist inside Wavixo, or they won’t be added.

4. Source (Optional)
You can add a custom source name in your CSV.
If left empty, Wavixo automatically assigns:
ORGANIC

IMPORTED

API

…depending on how the contact was created.


5. First Message Tag
This auto-generated tag captures the user’s very first message.
Same format as Tags, but only one value allowed.
Field will remain empty if not included in your CSV.

6. $Custom_Attribute Fields
These represent user-specific data such as:

City

Email

State

Course Type

Preferences

Qualification

You can create unlimited custom attributes under:
Manager → User Attributes

Used primarily for advanced segmentation and targeted broadcasts.



Example of a Correct CSV Format

The sample shows:

City, email, State → custom attributes

Mobile numbers include country code + “+”

Missing fields simply remain empty inside Wavixo after import



How to Export Contacts from Wavixo

Export All Contacts

Click Actions → Export to download all contacts as a .csv file.

Export Specific Segments
Use Filters to narrow down:
Tags

Campaigns

Date ranges

Names

Attributes

Then click Export to download only the filtered contacts.


What Happens If I Upload a Contact That Already Exists?

If the contact already exists in Wavixo:

✔ The contact will be updated
✔ Existing chat history will not be deleted
Updated fields appear under Contacts Updated in the import history popup.


Can I Edit Contacts in the CRM?

Yes.
Select any contact → Click Edit Contact → Update details.


How to View Contact Import History

1. Name (Mandatory)Click View History to see:
Contacts added

Contacts updated

Contacts failed

You can also download the failure report to understand import errors.


What Information Does the Wavixo CRM Store?

The CRM contains all essential data needed for segmentation:
Name

Mobile

Tags

Source

Last Active

Created At

State

First Message Tag

Custom Attributes

These allow deep-level filtering for targeted WhatsApp campaigns.



Can I Add or Remove Tags from Contacts?

Yes.
Using Manage Tags, you can:

Add tags

Remove tags

Update multiple contacts at once



Do Attributes Update in Real Time?

Yes. All fields map and update instantly in real time.



How Are Contacts Saved in Wavixo?

Contacts are created:
Automatically when a user messages your WhatsApp API number

When a business imports a CSV file

Through integrations, forms, chatbots, etc.
